Tax Article - I-9s Stride into the 21st Century


The Employment Eligibility Verification Form (also known as I-9) was signed by President Bush on October 30, 2004. The I-9 form is used by all employers to verify employment eligibility of employees. The implementation of the electronic format will facilitate the completion and storage of I-9 employment verification forms as well as the use of electronic signatures. The current law only allows three forms of record retention: Paper, Microfiche or Microfilm. Employers will also be able to convert the three current forms of record retention (listed above) into an electronic format for storage purposes. The change will go into effect April 28, 2005.

I-9's are not really a big administrative burden for small to mid-sized companies, but this new law will shift the forms from "paper copies" to electronic documents and storage, complete with electronic signatures. One firm that has tested the e-forms reports that what used to take an hour with a new hire now takes 15 minutes. This will prove to be efficient in both hiring, in turnover and if you firm is audited by the UCIS.
